More roomto grow.
AI systems for insurance agencies and brokerages.
We find the manual work holding your office back, build systems
around the way your team works, and keep them running.
Make space for
better work.
Growing the business brings more work behind the scenes.
Too often, your people become the connection between systems.
Different tasks.
The same people joining the gaps.
A client sends an update. The insurer sends a policy in a different format. Someone matches the files to the right client and enters the same details in more than one place.
Before an experienced colleague can review a policy or advise a client, someone gathers the latest documents, checks them against the record and chases what’s missing.
A servicing request passes between the client, insurer and your team. Follow-ups, missing documents and the next action can end up spread across inboxes and people.
Documents, email, client servicing, reporting and the coordination between them. The useful starting point depends on your office.
Find the right
starting point.
You can bring a frustration, a backlog or a project already in motion.
You don’t need an AI plan. We work with the people who know the process, including your operations or technology team where you have one.
Together we trace how the work arrives, where it gets repeated and what a useful change would mean for the business.

Decisions that stay
with your people
Some tasks should stay as they are.
A recommendation with a reason.
Use more of your existing software, improve the way work passes between people, or build a system where the value and practical fit justify it.
Built around your operation.
We check what your tools support before proposing connections. Access, information handling and human approval points are agreed before work on client data begins.
The documents arrive.
The details don’t agree.
A policy schedule arrives by email. The insured premises differ from the address in the agency’s existing record. Someone needs to resolve the difference before updating it.
Illustrative workflow and invented details. This shows a possible working arrangement, not a deployed client system.
The work starts with
what you already receive.
- Client / policy
- Example client · P-1042
- Insured premises
- 18 Market Road
The schedule, existing agency record and supporting email are brought together. Missing information remains visible.
Details extracted.
Sources kept alongside.
AI extracts the details. The workflow compares the fields and prepares the review pack. It leaves the conflicting address unresolved.
One address.
Two different records.
Check the sources and confirm the insured premises with the client and insurer before approving the record update.
Confirmed information.
Into your existing system.
Confirmed fields + source references
Approved information moves into the agency system.
Your team imports it where direct access is limited.
This step assumes the colleague has resolved the discrepancy with the client and insurer. Exploring this example does not approve or update any record.
After the person approves
The confirmed fields and source references go into the existing agency system through an agreed connection, or a prepared file for staff to import where direct access is limited.
Updating the agency record does not change the policy. Any amendment to cover still goes through the insurer.
What the team no longer prepares by hand
The file bundle, extracted fields and side-by-side comparison. The colleague receives the preparation in one place and keeps responsibility for checking, clarification and approval.
Start with one
useful change.
Start small. See it work.
Build from there.
We agree a useful first scope, test it with your team and stay involved as it becomes part of the working day.
Choose the first piece of work
Understand the process and tools together. Agree what is worth improving, what success looks like and what the first scope involves.
Make it tangible
A first working version shows what your team would receive and what they would still do, using suitable examples before moving to client data.
Test beside your current process
Compare accuracy, exceptions and total effort, including checking and corrections. Agree that it is useful before depending on it.
Bring it into the working day
Your team knows where the work appears, what needs approval and how to raise a problem. A fallback is agreed before daily use.
Keep it useful
Navicade looks after the system, monitors issues and maintains the agreed connections. Further improvements and additional workflows are separate decisions.
Your team
Shows us the work, provides appropriate access and reviews results. Insurance judgment and approvals stay with your people.
Navicade
Handles the analysis, design, build, testing and agreed ongoing care. You help judge the result without managing the technical project.

“I stay directly involved in understanding the problem, agreeing the scope and reviewing how the system is working.”
George KaldelisFounder, Navicade
Meet me on LinkedInInsurance work is where Navicade started.
My experience inside an insurance office, and conversations with agency owners, showed me how much time goes into keeping the operation moving.
I started Navicade to understand that work properly and build systems that take the repeated preparation off the team’s hands.
You have a named person accountable, with the operating responsibilities and handover arrangements made explicit before daily use.
Email meThe practical questions.
Will this work with the systems we already use?
We check the available access and formats first. Where a direct connection is unsuitable, a prepared file or staff-controlled import may be more practical. We establish the route into your existing system before agreeing a build.
What access would Navicade need?
It depends on the workflow. We agree which documents, accounts and permissions are needed, who can access them, and which services will process the information before work on client data begins.
What can the system decide on its own?
We define the permitted actions and approval points with you. Repetitive preparation may run automatically within those limits. Decisions requiring professional judgment remain with your team.
What happens when the AI isn’t sure?
An unresolved item is flagged with its source and passed to the designated reviewer. AI can also be confidently wrong, so review and validation cannot depend on an uncertainty flag alone.
Who owns what you build?
Ownership, licences and continued access are set out in the written agreement before we start. We distinguish the custom work from any third-party software or services it depends on.
What if we stop working together?
Before starting, we agree what you retain, which services need continuing subscriptions and what another operator would need to take over. Ownership, access and handover terms depend on the system and belong in the written agreement.
What could
work better?
A clear project. A recurring frustration.
Or a starting point you haven’t found yet.
Bring a recurring frustration, your team’s shortlist or an existing AI project. We’ll discuss how the work happens, what would make it better and whether a closer look is worthwhile. No technical brief needed.
